Submission of progress reports | Instructions for Victorian Streamlined review projects

Progress Reports

The Ethics Committee is required to monitor all approved research in accordance with the National Statement on Ethical Conduct in Human Research (2007). Part of the monitoring process includes the review of progress reports.

Researchers are required to submit a progress report for each research project. Reports are usually due on the anniversary of approval, but occasionally they are requested at more frequent intervals. Reports are also due on the completion of a project or if the research is discontinued before the expected date of completion.

Separate instructions are provided below for projects reviewed through the Victorian streamlined review system.

Submission of progress reports

Researchers must complete a progress report and email this to research@alfred.org.au. If the project has insurance, a current insurance certificate should also be attached.

Where the approval covers more than one site/centre, a report for each site/centre must be submitted. If there is more than one principal researcher for a project conducted at Alfred Health, one report is to be submitted, but it must have been reviewed and accepted by the other principal researcher(s) before submission.

A Self Audit Tool has been designed to help research personnel reflect on their research conduct and comply with guidelines for responsible research conduct. The Ethics Committee requires that all relevant members of the study team complete the Self Audit annually, list the names of those who have completed the Self Audit in the annual Progress Report and retain completed Self Audits in your study files.

NOTE
Ethics approval is ongoing but will lapse if the progress report is not received by the designated date or is not deemed satisfactory by the Ethics Committee. If the Committee is not satisfied with the progress report, researchers will be informed about subsequent action.

Instructions for Victorian Streamlined review projects

Alfred as the coordinating site
Researchers must complete the progress report CPI cover sheet. This lists all the approved sites and status of the research at these sites. Researchers must also complete a progress report for the Alfred Health site and obtain progress reports from all other approved sites. The cover sheet along with the progress reports from all sites are to be submitted at the same time by email to research@alfred.org.au. All reports must be received for the submission to be considered satisfactory.

NOTE
External sites must also submit their progress report to their respective research governance office. Ethics approval is ongoing but will lapse if the progress report is not received by the designated date or is not deemed satisfactory by the Ethics Committee. If the Committee is not satisfied with the progress report, researchers will be informed about subsequent action.

Alfred as the accepting site
Researchers must complete a progress report in time for the anniversary date of project approval. This is to be submitted to the coordinating site and to the Alfred Health Ethics and Research Governance Office.

NOTE
The date of approval for reporting is the Project Approval Date and not the governance/site approval date. Ethics approval is ongoing but will lapse if the progress report is not received by the designated date or is not deemed satisfactory by the Ethics Committee. If the Committee is not satisfied with the progress report, researchers will be informed about subsequent action.

Final Reports
Final reports are due on the completion of a project or if the research is discontinued before the expected date of completion. A final report is to be submitted by a site if the site is closed out but other sites remain open. The final report form is a different document to the progress report form.
